# What are the best tools to track who viewed your proposal?

- URL: https://getroomi.com/guides/best-proposal-tracking-tools
- Updated: 2026-10-20

The best proposal tracking tools tell you who opened the proposal, which pages they read and for how long. DocSend and Papermark track a PDF you already have, page by page. Qwilr tracks a proposal built in it, with quotes and acceptance on the page. If the proposal comes with a working demo, a room tracks that too.

This list is for an agency or a small team sending fee proposals. It ranks seven tools on what they tell you about who viewed, what they cost and what else they do. We make Roomi, so weigh that: it is ranked by fit for this reader, not first. [How to know if a client looked at your proposal](https://getroomi.com/guides/how-to-know-if-a-client-looked-at-your-proposal) covers read receipts and tracked links, and the [content tracking comparison](https://getroomi.com/compare/content-tracking) goes deeper.

| Tool | Free plan or trial | First paid plan, as billed | What it tracks | Names the viewer | Also does |
|---|---|---|---|---|---|
| Qwilr | A trial, with no card | Qwilr’s Starter plan is $49 a user a month, billed monthly, or $35 a user a month, billed annually, and includes one seat. | Page analytics, and alerts when a page is viewed, accepted or stalls | Yes, as identity analytics | Quotes, acceptance, e-signature and payments on the page |
| DocSend | Not checked | DocSend’s Personal plan is $10 a user a month, billed yearly. | Each visit, with the time on each page | When the link asks for an email | An agreement such as an NDA before viewing, on Advanced |
| Papermark | Yes | Papermark’s Pro plan is €24 a month, billed yearly. | Page by page, on every plan | Not checked | Open source, with a version you host yourself |
| PandaDoc | Yes, for e-signature | PandaDoc’s Starter plan is $19 a seat a month, billed annually. | Real-time tracking and notifications | Not checked | E-signature for you and your team |
| Proposify | A trial, with no card | Proposify’s Build plan is $49 a user a month billed monthly, $147 a user a quarter or $420 a user a year, with a monthly limit on sends. It has a 14-day trial with no card. | Document insights | Not checked | Unlimited documents and signatures, and an MCP server |
| Roomi (ours) | Static demos, with no private links | Pro: £4 a month billed monthly, or £40 a year, before VAT | Each person’s visits, and their time on the demo and on each page, a PDF page by page | Yes: the person each link was made for | A working demo beside the proposal; no quotes or e-signature |
| GetAccept | Not checked | GetAccept’s Professional plan is $49 a user a month, billed yearly on a 12-month agreement, for at least five users, with mutual action plans. | Not checked | Not checked | E-signature, chat and a full sales room |

Each price is the vendor’s own, as its page bills it, and the sources are listed at the foot of this page. “Not checked” means we have not read that on the vendor’s own page, so this list says nothing about it.

## Which proposal tracking tool is best?

It depends on what the proposal is. If it is the price, with a quote to accept, Qwilr tracks it and takes the acceptance on the same page. If it is a PDF you already have, DocSend and Papermark track it page by page. If it comes with a working demo, Roomi holds both, with a link for each person.

Ranked for an agency or a small team sending fee proposals, by how well each fits that job:

1. **Qwilr** — when the proposal is the price: quotes, acceptance and payment on the page, alerts when it is viewed, and identity analytics showing who.
2. **DocSend** — for the PDF you already have: each visit page by page, and a name when the link asks for an email.
3. **Papermark** — page-by-page tracking on its free plan, and open source if you would rather host it yourself.
4. **PandaDoc** — e-signature on its free plan, with tracking and notifications, and a seat price billed annually when you pay.
5. **Proposify** — document insights, with unlimited documents and signatures, after a trial with no card.
6. **Roomi** (ours) — when the proposal comes with a working demo: the PDF as a page beside it, a link for each person, and their time on both. It has no quotes or e-signature.
7. **GetAccept** — e-signature, chat and a full sales room, for a team of five or more on a yearly agreement.

## What should proposal tracking tell you?

Five things. Whether it was opened at all. Which pages they read, and for how long. Who it was, by name, which usually needs a link made for them or an email asked for. An alert when it is opened, so you call while they are reading. And who they passed it to.

- **Pages and time.** DocSend lists each visit to a document with the time spent on each page and how much of it was viewed. It names the visitor only when the link requires an email to view.
- **Only the time they were reading.** DocSend counts only the time a visitor spends with a document in front of them, and pauses the timer when they switch to another tab.
- **An alert.** DocSend can email you the moment someone opens one of your links, with their device, their location, how much of the document they viewed and how long they spent. Qwilr’s pricing page lists real-time alerts when a page is viewed, accepted or stalls, page analytics showing where prospects spend their time, and identity analytics showing who is viewing.
- **Who it was passed to.** On Roomi, whoever opens a forwarded link is asked who they are, and appears under the link it came from. [Sharing a private link](https://getroomi.com/docs/sharing) shows how that looks.

## Is there free proposal tracking?

Yes, with limits. Papermark tracks a document page by page on its free plan, and PandaDoc’s free plan tracks what you send for e-signature. Qwilr and Proposify start with a trial and no card. Roomi is free to start, but its free plan has no private links, so it cannot tell you who opened a proposal.

- **Papermark.** Papermark’s Free plan shares up to 50 documents, with page-by-page analytics and unlimited visitors. Papermark is open source, and offers a version you host yourself.
- **PandaDoc.** PandaDoc’s Free plan is e-signature for you and your team, with five documents a month and real-time tracking and notifications.
- **Qwilr.** Qwilr offers a 14-day trial of its Starter plan with no credit card, and its pricing page lists no free plan.
- **Proposify.** Proposify’s Build plan is $49 a user a month billed monthly, $147 a user a quarter or $420 a user a year, with a monthly limit on sends. It has a 14-day trial with no card.
- **Roomi.** A private link for each person, and what each one did, start on Pro. [Pricing](https://getroomi.com/pricing) has every plan.

## Proposal software or a document tracker?

Choose by where the proposal is made. Proposal software builds it for you, with quotes and signatures, and tracks it because it hosts it. A document tracker takes the PDF you already made, in any tool, and tracks that. The first changes how you write proposals; the second changes nothing but the link.

**Proposal software.** Qwilr and Proposify build the document, and PandaDoc’s free plan handles e-signature. A Qwilr page can carry an interactive quote, a one-click acceptance, an e-signature and payment collected through the page, with e-sign and payments on its Starter plan. Qwilr’s Starter plan connects to HubSpot, Zoho and Pipedrive; Microsoft Dynamics starts on Growth and Salesforce on Scale. Proposify’s Build plan includes document insights, unlimited documents and signatures, and an MCP server.

**A document tracker.** DocSend and Papermark take a file you upload. On DocSend’s Advanced and Advanced Data Rooms plans, a link can be limited to chosen email addresses or domains, or closed to them. Papermark is open source, if you would rather host it yourself.

## What if the proposal comes with a demo?

Then send them together. Roomi holds the PDF as a page in the room, beside the working demo. Each person’s link shows their visits, their time on each app, and their time on the proposal, page by page. It emails you when a link is first opened, and again when someone comes back.

It has no quotes, acceptance or e-signature, so keep those in your proposal tool. A Roomi room refuses to be shown in another site’s frame, so a Qwilr page cannot hold one. Qwilr’s Embed Widget can show content that allows embedding; when a site does not allow it, Qwilr says that is something it cannot control. Send each person their own link to the room, beside the proposal. [Roomi against Qwilr](https://getroomi.com/compare/qwilr) sets the two side by side.

[Analytics and the pipeline](https://getroomi.com/docs/analytics) lists everything the room records, and [the follow-up email after sending a demo](https://getroomi.com/guides/follow-up-email-after-sending-a-demo) helps with what to write when they come back.

## Why not just ask for a read receipt?

Because a read receipt says little and often says nothing. It works only on some email accounts, the reader may have to approve it, and it says nothing about which pages they read or for how long. A tracked link tells you all of that, and it works whatever email they use.

Gmail read receipts work only on work and school accounts, not personal Gmail ones, and the recipient may have to approve each one. Google says a receipt does not always mean the message was read. [How to know if a client looked at your proposal](https://getroomi.com/guides/how-to-know-if-a-client-looked-at-your-proposal) covers receipts and tracked links in full.

Start with the demo, if you have one. Deploy it on Free and open it as a viewer would. Then, on Pro, add the proposal as a page and make each person their own link.

## Questions people ask

### Can I see who viewed my proposal for free?

Yes, with limits. Every Papermark plan, Free included, has page-by-page analytics and unlimited visitors. Free holds up to 50 documents. PandaDoc’s free plan tracks the documents you send for signature, and Qwilr and Proposify start with a trial instead.

### Does Qwilr show who viewed a proposal?

Qwilr’s pricing page lists real-time alerts when a page is viewed, accepted or stalls, page analytics showing where prospects spend their time, and identity analytics showing who is viewing.

### Can I track a PDF proposal I attach to an email?

No: an attachment reports nothing once it is sent. Upload it to a tracker, or add it to a room as a page, and send a link instead, one for each person.
