# How can I see if someone opened my Google Drive link?

Only sometimes. For a Docs, Sheets or Slides file owned by a work or school account, an editor in the owner’s domain can open the Activity dashboard to see who viewed it. A file on a personal account shows no one, and anyone can hide their views. To know for certain, send each person their own link.

This guide covers what Google Drive’s Activity dashboard shows, why it can show nothing, and why an email read receipt does not help. Then the other ways to know who opened a document, and how a Roomi room names each person, with the document beside your demo. [How to know if a client looked at your proposal](https://getroomi.com/guides/how-to-know-if-a-client-looked-at-your-proposal) covers proposals in more detail, and [content tracking compared](https://getroomi.com/compare/content-tracking) sets the trackers side by side.

## Can Google Drive tell you who opened a file?

Sometimes. Google’s Activity dashboard names the people who viewed a Docs, Sheets or Slides file, and when. To see it, you need edit access to the file and must be in the same domain as its owner. The file must be owned by a work or school account, and Google says it shows people who were signed in.

Google’s Activity dashboard names the people who viewed a Google Docs, Sheets or Slides file, and when. To see it, you need edit access to the file and must be in the same domain as its owner, and an administrator can turn view history off. Google says that if a file isn’t owned by a work or school Google account, no one can see its view history. Where it can be seen, it shows people who were signed in.

Google’s pages describe the dashboard for those three kinds of file. They say nothing about a PDF or another file you uploaded to Drive, so this guide doesn’t either.

## How do you check who viewed a Google Doc?

Open the file, choose Tools, then Activity dashboard. Google’s help for Sheets says an editor sees who the file is shared with, who viewed it, and a chart of viewers over time. Its other pages describe the same dashboard for Docs and Slides. You need edit access, in the owner’s domain, for any of it.

1. **Open the file** in Docs, Sheets or Slides, signed in to an account in the same domain as its owner.
2. **Choose Tools, then Activity dashboard.**
3. **Read who viewed it,** and when, beside who it is shared with.

In Google Sheets, someone with edit access opens Tools, then Activity dashboard, to see who the file is shared with, who viewed it, and a chart of viewers over time.

## Why does it show nothing for my link?

Google’s own pages give four reasons. The file may be owned by a personal Google account, where no one can see view history. The person may have turned off their view history, for that file or for every file. An administrator may have turned it off. And Google says it shows people who were signed in.

Anyone can turn off their view history in Google Docs, Sheets and Slides, for one file or for every file. Views made while it is off never show in anyone’s Activity dashboard.

So an empty dashboard does not mean nobody opened it. A link that anyone can open does not ask who is opening it, so someone who was not signed in may not be named.

## Why can’t a shared link tell you who opened it?

Because a link that anyone can open is the same link for everyone. Whoever opens it, the address is the same, so a service can name them only if they sign in or give an email first. A link made for one person names that person, because it was sent to nobody else.

That is true of any service, not only Google Drive. A view count, or a list of visits with no names, tells you a document was opened. It cannot tell you whether the person you sent it to was the one who opened it.

## Does an email read receipt help?

Not much. A Gmail read receipt works only on work and school accounts, and the recipient may have to approve it. Google says a receipt does not always mean the message was read. Even when one arrives, it is about the email, not whether they opened the file it links to.

Gmail read receipts work only on work and school accounts, not personal Gmail ones, and the recipient may have to approve each one. Google says a receipt does not always mean the message was read.

A tracking pixel in an email has the same limit: it reports the email, not the document. To know about the document, the record has to come from where the document is opened.

## How else can you see who opened a document?

A document tracker such as DocSend shows each visit and the time on each page, and names the visitor when the link asks for an email. A room does the same for a document beside a working demo, with each link made in one person’s name. Either way, you see who opened it.

| Way | Names the person? | Time on each page? | Works for a PDF? |
|---|---|---|---|
| Google Drive’s Activity dashboard | Signed-in viewers, on a work or school account’s file, unless they hide it | Not checked | Its help names Docs, Sheets and Slides |
| A Gmail read receipt | Only on work and school accounts, if they approve it | No | It reports the email, not the file |
| DocSend | When the link asks for an email | Yes | Yes |
| Papermark | Not checked | Yes, page by page | Yes |
| A Roomi room (ours) | Yes: each link carries a name | Yes, page by page | Yes, as a file in the room |

“Not checked” means we have not read it on the vendor’s own page, so this guide says nothing about it. What the others say, from their own pages:

- **DocSend.** DocSend lists each visit to a document with the time spent on each page and how much of it was viewed. It names the visitor only when the link requires an email to view. DocSend can email you the moment someone opens one of your links, with their device, their location, how much of the document they viewed and how long they spent.
- **Papermark.** Every Papermark plan, Free included, has page-by-page analytics and unlimited visitors. Free holds up to 50 documents.

## How does a room name each person?

You make a private link for each person, with their name on it, and every visit through it is filed under them. A PDF you add to the room opens in the room’s own reader, a page at a time, beside your demo. You see each person’s visits in order, and their time on each page.

1. **Add the document to the room.** On the project’s **Room** tab, add a PDF or an image. It is sent only to someone let into the room, never at an address anyone could pass round.
2. **Make a link for each person.** On Pro, in the app, the terminal or from Claude. [Sharing a private link](https://getroomi.com/docs/sharing) has the steps.
3. **Send it.** From your own email, or have Roomi email it for you.
4. **Read their visits.** Each person’s visits in order, which pages of the document they read and for how long, their time in the demo, and how far they took the tour.

Roomi tells you the first time each person opens their link, in the app and by email. It tells you again when someone comes back an hour or more after their last visit. [Analytics and the pipeline](https://getroomi.com/docs/analytics) explains every measure.

## Will they know you can see?

They should. A tracker or a room records what someone does, and it is fair to say so when you send the link. Roomi’s terms ask you to tell each viewer that the room records what they do. The room also asks each browser whether it is the person the link was made for.

So a client always knows the link is theirs. It records no IP address, location or browser version, and no clicks or screens inside your demo.

Send your next document as a link of its own for each person, and you will know who opened it.

## Questions people ask

### Can I see who viewed a file on a personal Google account?

No. Google says that if a file isn’t owned by a work or school Google account, no one can see its view history. Where it can be seen, it shows people who were signed in. Send each person their own link instead, to a place that records each visit.

### Does a Gmail read receipt show they opened my Drive link?

No. Gmail read receipts work only on work and school accounts, not personal Gmail ones, and the recipient may have to approve each one. Google says a receipt does not always mean the message was read. Even when a receipt arrives, it is about the email, not the file it links to.

### How do I know who opened a PDF I sent?

Send it as a link made for that person, to a place that records each visit. In a Roomi room, a PDF beside your demo is read a page at a time, and you see each person’s time on each page.

### What if they forward my link?

In a Roomi room, the next person is asked whether they are the one the link was made for. Someone who says no gives their name, and appears under that link as forwarded.
