A digital sales room is one web page a seller shares with a buyer for the length of a deal. It holds the materials, the next steps and often a mutual action plan, and it shows the seller who opened what. Some rooms can show a live product too, but most embed one hosted somewhere else.

This guide says what goes in one, what different vendors call it, how it differs from a data room or a proposal, and what it tells the seller. Then when a room built around a demo is the better fit. The best digital sales rooms for a small team compares the tools, and how to tell if a client looked at your proposal covers reading what it records.

What goes in a digital sales room?

A sales room holds whatever the buyer needs to decide, in one place they can come back to. That is usually the materials, such as decks, PDFs and videos, and a plan of who does what by when. Many add messages, a proposal, a contract to sign, and a tour of the product embedded from a demo tool.

  • Materials. Decks, PDFs, case studies, videos and pricing.
  • A mutual action plan. The steps both sides agree to, with owners and dates. Our mutual action plan template has one to copy.
  • Messages. Questions and answers kept beside the materials, not in email.
  • The paperwork. A proposal, a quote, and on some tools an e-signature.
  • The product. Usually a tour made in a demo tool and embedded in the page. A few tools host the product itself. The demo tools comparison covers the tools that make those tours.

What do vendors call it?

Every vendor has its own word for the same idea. Trumpet calls a room a Pod. Dock uses workspaces, and Storylane calls its deal rooms Hubs. Pitch, Flowla and Aligned say rooms, and HummingDeck says deal rooms. The names differ, but each is one page for one buyer, holding the materials and recording who opened them.

Vendor Its word From its own page
Trumpet Pod Trumpet calls its sales rooms Pods.
Dock Workspace Dock’s People tab shows, for each person who opens a workspace, their views of it, the actions they took and the date they last looked.
Storylane Hub Storylane’s Hubs, buyer deal rooms that hold demos, PDFs, videos and embeds, are on its Premium and Enterprise plans, and an add-on on Growth.
Pitch Room A Pitch room gathers presentations, links and files behind one link, which can ask for a passcode or an email. Pitch shows when a visitor opens the room, a deck or an attachment.
Flowla Room Flowla’s Starter plan is free, with up to 20 rooms and mutual action plans.
Aligned Room Aligned’s free Starter plan gives each user up to 4 active rooms at a time, with mutual action plans and rooms shared behind an email check and a password.
HummingDeck Deal room HummingDeck’s Free plan has 5 documents, 5 links and 1 deal room, with no time limit.

How is a sales room different from a data room or a proposal?

Each is for a different moment. A data room is for due diligence, with strict access to documents. A proposal tool is for pricing and signing. A sales room covers the whole deal, from the first meeting to the decision. A demo room puts a working product in front of each person and records their visits.

Digital sales room Data room Proposal tool Demo room (Roomi, ours)
For Winning one deal Due diligence Pricing and signing Showing a working product
Holds Materials, a plan, messages Documents, under strict access A quote, terms and a signature The app, a guided tour, pages beside it
Tells you Who opened what Who opened which file Who viewed the proposal Each person’s visits, and their time on each app and page

A client portal is different again. It is for a customer you already have, and it lasts as long as the work does, not just the deal.

What does a sales room tell the seller?

A sales room tells you who opened it and what they looked at, so you know when to follow up. Some name each person who opened it. Others count visits and time on each piece of content. Look for names: a count of views tells you someone looked, but a name tells you who to call.

  • Trumpet. Trumpet shows engagement data for every Pod: who is engaging, what they are viewing and how their interest changes.
  • Dock. Dock’s People tab shows, for each person who opens a workspace, their views of it, the actions they took and the date they last looked.
  • Pitch. Pitch’s advanced links track visits, slide views and the time spent on each slide: 25 of them on its Team plan, and unlimited on Business.

What to do with it is the same everywhere. Buying signals a prospect is ready to talk says which ones to act on.

When is a demo room the better fit?

A demo room is the better fit when the thing to show is a working product you built. A sales room usually embeds a product hosted somewhere else, and sees little of what the buyer did inside it. A demo room runs the product itself, on a link for each person, and records each one’s visits.

On Roomi, the demo runs live on mock data, with a guided tour and your pages beside it. Each person opens their own link. You see their visits in order, the time on each app and page, how far they took the tour, and what they chose to do next. Sharing a private link shows how each person gets theirs.

The two work together. Keep the plan and the paperwork in the sales room, and send each buyer their own link to the demo beside it. A Roomi room cannot be shown inside another site’s frame, so each person opens it from their link, and you see what each of them did.

Start with the demo: deploy it free, and open it as a viewer would.

Questions people ask

Is a digital sales room the same as a deal room?

Mostly. “Deal room” can also mean a data room for due diligence, before a company is bought or funded. So sellers say “digital sales room” to mean the kind a buyer sees while deciding.

Do I need a digital sales room for a small deal?

Not always. For one buyer and one product, a link to the working demo with a short note may be all the room you need. A sales room earns its place when a deal has several people and several steps.
